This Document is issued by Prumatech Infosystems Pvt Ltd (hereinafter termed PIPL), with its Registered Office in Chennai, India, to declare the Privacy Policy, rules and procedures adopted by the Company in the pursuit of its business objectives. This declaration is made in accordance with the provisions of privacy rules under the Indian Information Technology Act 2000.

PIPL core business is a B TO B model business, comprising of following Services

a) Providing Consultancy Services in the areas of Materials Management and Maintenance Management.

b) Master Data analysis, Data Sanitisation Services and Data Governance and Management Services.

c) Providing Custom built Software Tools and applications for Master Data Governance & Management.

3.1 Business Data

a) As part of its Business Operations Prumatech receives data from its Clients, who engages Prumatech to provide any of the aforestated Services.

b) These data primarily relate to Material Technical specifications, Maintenance data related to equipment, and details of Manufacturers/ Dealers/Agents of such materials and services.

c) Prumatech additionally receives from Clients data relating to their system set up and configuration for the purpose of dovetailing Prumatech custom developed tools with such systems.

d) Details of the authorised employees of the Client (viz Name, Designation, Official Contact ID, official phone number, email ID, Department where working and work assignments).

3.2 PRIVATE (CLIENT/THIRD PARTY ) INDIVIDUAL DATA

a) Prumatech does NOT collect any private individual information or data in any of its core business activities which is based on Business To Business Model, which are NOT related to the terms and scope of work as per Contracts entered into with its Clients.

b) The only private individual data which Prumatech requires , collects and stores is in respect of the Names, the email and phone addresses, the designations and departments of the individuals who are to be authorised for communication with Prumatech either through its Software tools (eString/PROSPIR ) or over direct email correspondence. In such cases, the tenure of usage of such data expires within 2 years from the date of closure of contract.

c) Prumatech does NOT share this data with any other third party individuals, agencies, companies or Corporate Organizations. In addition, the sharing of such information shall be strictly bound by the Non-Disclosure Agreements (NDA) signed with each Client as per their own Company requirements.

3.3 EMPLOYEES PRIVATE DATA

Prumatech may collect for exclusive internal use, private information relating to the employees and Consultants it employs/ engages. Such collection and usage is solely for the purpose of ascertaining the state credentials of such persons who seek employment/ consultancy appointments with Prumatech. The information collected shall be in accordance with the HR Policies in vogue and shall be compliant with the extant Laws of India. Such information shall be treated as strictly confidential and shall not be shared with any other Individuals/ Corporates or Bodies except Statutory bodies which require disclosure of such information.

3.4 Private Data collected from Prumatech website

a) Prumatech manages and operates its official website having the URL https://www.prumatech.com which is a secure website. The website is open to all globally for view and interacting with Prumatech with regard to the Services and Products Prumatech has to offer.

b) When any individual or business visits Prumatech’s web site to view the contents, interact with Prumatech Officials, Prumatech may gather such information which are reasonably required to establish the credentials and authenticity of the visitor to its website and genuine nature of their interests. No other personal or private information shall be collected or stored which are NOT relevant to the business offerings and establishing of business relations with the interested visitor.

c) For the purpose of such information, a web form will be presented for filling up with the required information which needs to be populated and submitted before visitors can see further details available on the web-site or browse other contents. This information shall be strictly held confidential and shall not be shared with any third parties whomsoever, except Statutory bodies which may require such information as per extant Laws of India.

d) The information shall primarily comprise of the Visitors Name, his Company name, phone number, fax number, email ID, designation, purpose of enquiry and any other information which may be required to establish the credentials of the interested person who seeks business information and quotations from Prumatech. Such information shall be used for internal analysis, contacting the website visitor for taking forward business prospects and marketing decisions.

e) Prumatech records and retains for such periods as required for its internal business needs and for statutory compliances, details relating to browsing activities on its registered website, including but not limited to IP addresses, browsing patterns, visitors’ contact details and profiles relevant to market analysis and decisions.

f) Prumatech make use of Cookies, as commonly done by Business sites to track repeat visitors to our sites to generate business prospects. No additional information other than what is declared here shall be gathered by use of such Cookies. The cookies are User controllable and an user may opt to retain the cookies or clear it as per their group policies.

3.5 Data/ Privacy Information Security

a) All data collected by Prumatech from its Clients are held secure, are NOT shared with any other Agency without the express consent of the Client. Data which are already in public domain and not considered confidential, however may be shared as per Prumatech business needs.

b) All personal data collected from website visits are held confidential and not shared with any other Agency without express consent of the Visitor. However data called for by Statutory Agencies as per Laws of India shall be shared with them for complying with the Statutory obligations.

c) Access to detail information in our websites as well as access to our Tools are through Userid and passwords which shall be governed in accordance with individual client’s password policy rules. To ensure security of data stored in our Servers, users are required to strictly comply with the current Userid and password rules which shall stipulate non-sharing of such credentials with any other third party, frequent forced changes to passwords, password integrity and minimum length etc.

d) Passwords are fully user controlled. Changes to passwords are only known to Users and auto alerts are sent over registered mail with authentication links for enforcing changes.
Prumatech shall never ask for the User credentials or passwords at any time in any manner.

e) Prumatech website is a https site (security enabled) and information shared are encrypted to ensure data security.
